The Formula That Most Calculators Get Wrong
The standard freelance rate formula is: (Target income + expenses + tax reserve + profit buffer) ÷ billable hours. But most calculators use generic tax percentages or ignore tax entirely. That is a mistake, because self-employed tax rates vary enormously — from around 35% in Switzerland to over 60% in Germany at higher income levels, and from around 30% for a US sole proprietor to 45%+ once state taxes and self-employment tax are included.
Our calculator applies country-specific effective tax rates that include both income tax and mandatory social contributions. For the US, that is approximately 35% for a sole proprietor at moderate income levels (15.3% self-employment tax + federal income tax + state tax). For Germany, it is around 48%. For France, around 45% under the micro-entrepreneur regime. For the UK, about 42% for a sole trader including Class 4 National Insurance.
Why Utilization Rate Matters More Than You Think
Billable utilization is the percentage of your working time that you can actually invoice to clients. Global data shows the average freelancer bills about 65% of available hours. Top performers reach 75% or higher. The rest goes to admin, proposals, marketing, learning, and the countless other tasks that come with running a business. If you assume you will bill 100% of your working hours, your rate calculation will be wrong by 35% or more.
